Fund factsheet automation: how it works and what to expect

Fund factsheet automation means producing each month's factsheets directly from your fund data, through a fixed template and a set of checks, instead of updating a document by hand. This guide explains how it works, what stays with your team, how one template is controlled across a range, and what the time saving can look like.

1. How factsheet automation works

  1. Data in. NAVs, holdings, fund facts and charges arrive from the administrator, index provider or your own systems, in an agreed format.
  2. Checks. Every field is checked for completeness and consistency: weights add up, prices have no gaps, and key figures match the KID or EMT.
  3. Calculation. Performance, breakdowns and statistics are calculated from the data, never typed in.
  4. Layout. The figures flow into the approved template for each share class, in your branding.
  5. Review and approval. Your team receives the PDFs and a run report of every check, and approves them for publication.

2. What is automated and what stays with you

3. Template versioning across a fund range

With hand-built factsheets, every fund's document drifts over time: a disclaimer updated in one file but not another, a chart moved on some funds only. Automation fixes this with one master template for the range.

4. Worked example: hand-built vs automated

Illustrative only: the figures below are assumptions for a typical boutique, not results from a particular client. Your own times will differ.

10 funds, monthly factsheetsHand-builtAutomated

The bigger gain is often accuracy: figures calculated from data, and checked the same way every month, remove the copy-and-paste errors that hand-built factsheets are prone to. For the full comparison of options, see in-house vs outsourced factsheet production.

5. Common questions

Can automation use our existing factsheet design?

Yes. The current layout, fonts and colours are rebuilt once as a template; after that only the data changes each month.

Who signs off an automated factsheet?

You do. Automation produces and checks the document; your compliance or product team still reviews and approves it before publication.

What if our data arrives late or with errors?

Missing or inconsistent data is reported before release, so a factsheet does not go out with incomplete figures. Once the data is corrected, the factsheet is produced again in minutes.

Is factsheet automation only worth it for large ranges?

No. Even a few funds produced monthly add up to many hours a year of updating and checking. Larger ranges gain most from having one master template.
